Searching (Lookups)


The Search (Lookup) is used to locate entries that you want to view, edit or delete. It is a quick and easy way to find items rather than scrolling through records on the Default tab using the database navigator. When you locate the entry you are looking for in a search and select it, it will display that entry in the Default view to enable you to edit, delete or view the entry.

 

The Index Search

The screen shown above is the Search screen in Index Search mode.

  1. Select the field by which you would like to search by clicking on the title of the column for that field. For example, if you know that the item you want is strawberries, but you don't know anything else about it (like the item number or stock group that it is in), you would want to search by Description. So select Description by clicking on the grey title button named Description. You will notice that this will put all items in alphabetical order of description.
  2. Enter the first few characters (or numbers) of the item's field that you are searching. The list of items at the bottom of the screen will scroll through as it matches up the item's data field that you selected to the characters you have entered in. Using the example above, you would enter in "straw…." for strawberries. The list will scroll through, highlighting the nearest matching entry. The characters that you have entered in are shown at the top of the screen.
  3. To clear the characters that you have entered and start the search again, click on the eraser button at the end of the Search Value.
  4. When you have located the desired item, click on the Return button and the entry will be displayed for you in the Default view. You can now view, edit or delete the item as you wish.

 

The Field Search

 

To perform a field search, click on the Field Search button at the top of screen, and the screen below will be displayed. A field search is used to match certain characters (or numbers) in more than one index field at a time.

  1. Select the checkboxes of the fields that you want the search value to be found in. For example, if you want to find any item that has the characters "strawbe" in either it's description or supplier, tick the checkboxes next to AIN_DESC and SUPPLIER.
  2. Once you have entered your characters and selected the desired data field checkboxes, click on the Search Now button.
  3. The search will find any item that matches the criteria. When an item is found, the search will pause and display the item that it has found. If it is the item you are searching for you can choose to stop searching and the item will be displayed in Default view. If it is not the item you are looking for you can choose to continue searching until you have found it.

 

 

The List Search

 

The List Search occurs in the Project / Recipe file. It is an alternative to using the search but works in almost exactly the same way. To select the field you would like to search by, click on the title button of the desired column (eg. if you would like to search by description, click on the grey title button named Description). Then just start typing the description of the item you are looking for and the nearest match will be displayed and highlighted. The description you have typed in will be displayed in the 'Searching For' text box at the bottom of the screen. Pressing Backspace on your keyboard will clear the buffer to start searching again.
