Section Description

The Calculate Ingredients file calculates the amount of ingredients needed for scheduled projects / recipes and hence calculates the required stock to be ordered (food order). You can create orders for any date range and also filter the schedule by teacher and class.

Steps

 

 

To get to the Calculate Ingredients File
To get to the Calculate Ingredients File, select the Recipes menu and select Calculate Ingredients or click on the Calculate Ingredients button on the navigator.

 

Performing an Ingredients Calculation
To perform an ingredients calculation:
  1. Select the start and end date of the period you would like to create an order for. Usually this will be the upcoming week.
  2. If you wish to filter by class or teacher, select them accordingly. Usually, they will just be left at ALL CLASSES and ALL TEACHERS.
  3. The recipes fitting criteria set in the previous steps will be displayed. If projects are missing, it means that they were not entered correctly into the schedule, and you should re-enter them before going any further.
  4. To calculate the required quantities of ingredients, click Calculate. This will display the Ingredients tab (below) which contains the order quantity information on each item such as the calculated amount, the required amount, the order quantity and the supplier ect. The grey columns are calculated and fixed data. The white columns are editable.

  5. Enter in any on-hand amounts (eg. you actually have 10 bunches of spring onion in stock already). You will notice that as you exit the cell after entering in an amount, the Required amount is automatically updated as the Calculated amount minus the On-Hand amount. You can also edit the Order/Centre which is the order quantity. For example, you might want to order a couple extra capsicums just to be sure that you have enough.
  6. You can change the supplier for any stock item that you wish to buy from an alternative supplier just for this order. This will NOT change the supplier of the item in the stock file. It is there so that if another supplier has a special, for examlpe, and as a one off, you wish to order from that supplier this week, you may change it here
Reports
To view the Calculate Ingredients reports, click on the Reports tab at the bottom of the Calculate Ingredients screen. The Calculate Ingredients file provides 2 reports:
  1. Order By Stock Group: This report shows all the ingredients that have been calculated, sorted by their stock group.
  2. Supplier Print Out: Shows all the ingredients that need to be ordered from a certain supplier.
