Section Description

The Centre Scheduling file provides a means to schedule projects / recipes for classes in advance. Once you have scheduled projects / recipes for all teachers for the week, you can calculate your required food order.

Steps

 

 

To get to the Centre Scheduling File
To get to the Centre Scheduling File, select the Recipes menu and select Schedule or click on the Schedule button on the toolbar. The screen above will appear. This is a calendar that shows what recipes / projects are scheduled for what teacher and time. Click on the various teachers names on the side of the screen to see the schedule for that teacher.

 

Adding a Scheduled Project
To add a new project / recipe to the schedule (once you have opened the schedule for a specific teacher):
  1. Click on the New button to enter a new recipe, and the screen below will open.
  2. Select the date by clicking on the calendar icon and selecting the date from there. (The TAB key moves to the next field.)
  3. Select the Period that you want the recipe to be run in.
  4. Enter the project that you will be running at that time. Use the down arrow beside the Project field to select the project.
  5. Enter the multiple of the project / recipe you will need. Remember to look at the Between value (that is displayed under the project name). If the between value is 2 and you have 20 students participating in the class, the multiple should be 10. You can use the up and down arrows to increase or decrease by 1.
  6. The cost will then be calculated using this information.
  7. Enter the centre (ie. room the class will be in) and the class related to this project. The class defaults to the subject code. It is acceptable to leave it as the subject code. The only time you might want to change it, is if you need to differentiate between classes A or B etc.
  8. Click on the Save button to save your changes or the Cancel button to cancel the scheduling.

 

Editing Scheduled Projects
To edit an existing scheduled project:
  1. Locate the record that you want to edit, using the arrow buttons at the top of the window.
  2. To edit the actual recipe, click once on the recipe to highlight it, and then click on the Edit Project button. To edit the scheduling information, double click on the recipe/ project.
  3. Make the changes that you need, and then click on the Save button to save your changes. (Or the Close button when editing a recipe.)

 

 

Deleting a Scheduled Project
To delete an existing scheduled project:
  1. Locate the record to delete by using the arrow buttons on the top of the window.
  2. Highlight the record that you want to delete by clicking once on it.
  3. Click on the Delete button at the bottom of the window.
  4. Click OK when asked if you wish to delete.

 

Copying Schedules
To copy projects scheduled during a certain date range to another time period, or to copy a scheduled recipe to another teacher:
  1. Click on the project that you want to copy.
  2. Click on the Copy button.
  3. Click on the New button to create a new recipe.
  4. Click on the paste button to paste the new record into the screen.
  5. Remember: you can't have the same recipe scheduled for the same teacher at the same time. You will need to change teachers, date, or the period that the project will be run in.
Reports

 

To view the available reports, click on the Reports button located at the bottom of the Scheduling screen. There are 8 Centre Scheduling reports:

  1. Scheduled Project Listing: This report is a straight listing of the projects that are going to be run between a date range. You may refine the report to show just one teacher or class in the date range by choosing values other than ALL CLASSES or ALL TEACHERS.
  2. Schedule Costing By Month: This report shows the cost of all projects per teacher per month.
  3. Daily Schedule: Shows what recipes are going to be run each day.
  4. Weekly Schedule: Shows what recipes are going to be run each week.
  5. Ingredient / Project Listing by Date Range: Shows the cost of each ingredient and recipe for a specific class within a certain date range, or all classes within the date range.
  6. Teacher / Subject Expenditure: Shows the cost of each teachers projects per Subject.
  7. Subject Expenditure: Similar to the Teacher / Subject Expenditure report, but only sorts according to the Subject, not the teacher.
  8. Room Allocation Report: Shows which rooms will be used for what projects and teachers, per fortnight.
