General Ledger File

Section Description

The General Ledger file represents accounting categories to assign costs and expenditure to. General Ledgers can have codes of up to four characters long. Generally, all of the general ledgers start with Z. General ledgers are used in the Orders file when assigning costs associated with orders for accounting and budgeting purposes.

Steps

 

To get to the General Ledger File
To get to the General Ledger file, select the Orders menu and select General Ledgers.

 

Adding a General Ledger
To add a new General Ledger accounting category:
  1. Click on the New button in the bottom of the window. All of the data fields will become blank.
  2. Enter a Category Code. The code can be up to four characters long.
  3. Enter a description.
  4. Enter the budget for that general ledger.
  5. Click on the Save button to save changes. Clicking Cancel will cancel all changes.

 

Editing a General Ledger
To edit an existing general ledger:
  1. Find the required general ledger by using List or Search (see Searching (Lookups)).
  2. Alter any of the Category Code, Description or Budget fields. Be careful with altering the code as any costs assigned to the old code will be 'orphaned'.
  3. Click on the Save button to save changes. Clicking Cancel will cancel all changes.

 

Deleting a General Ledger
To delete an existing general ledger:
  1. Find the required general ledger by using List or Search (see Searching (Lookups)). Be careful, as if costs have been assigned to this general ledger, they will now be 'orphaned' if you delete it.
  2. Click on the Delete button to delete the record.
  3. Click OK when asked if you want to delete the record.

 

Reports
To view the general ledger reports, click on the Reports tab located at the top left of the screen. The General Ledger file provides 1 report:
  1. General Ledger Listing: This report displays a list of all general ledgers. To generate the report, select General Ledger Listing then click on Preview or Print.
