Section Description

The Stocktake file provides a means to perform a stocktake on all items in all centres, hence updating on-hand values and tracking item usage.

Steps

 

To get to the Stocktake File
To get to the Stocktake file, select the Centre menu and select Stock Take or click on the Stocktake button on the navigator. You will see a list of centres. To open a centre for stocktaking, double click on the centre name.

 

Performing a Stocktake
To perform a centre stocktake:
  1. Select the centre that you wish to perform a stocktake on from the list.
  2. You will now be able to view a list of all items in that centre and their current on-hand values. To change the order that the items are listed in, click on the title button (red in color) of the column you wish them to be ordered by (eg. if you want them listed in alphabetical order by description, click on the Description title button).
  3. Before commencing the stocktake, click on the Copy On Hand button. This copies all current on-hand values to the Stocktake column, so that if there is no change in on-hand values for an item, you don't have to enter in the same amounts again. It is very important to do this first. If you do not, you risk setting on-hand values back to zero.
  4. Enter in the new on-hand values into the Stocktake column.
  5. When you have finished updating all values, click on the Perform Stock take button. This copies the new on-hand values from the Stocktake column to the On-Hand column.

 

Reports
To print out a centre list with the order of items the same as the viewing order, click on Print Centre List. To view the other stocktake reports, click on the Reports tab located at the top left of the stocktake screen. The stocktake file provides 3reports:
  1. Centre Item Listing:Shows a list of items that each centre has on hand.
  2. All Centres Item Listings: Shows a list of items for all the centres, listed alphabetically according to centres.
  3. Stock Usage: This report displays the stock usage for each Usage Report from the report list, enter a start and end date for the desired date range, select a centre, then on Preview or Print.
