Section Description

The Suppliers file stores the supplier information for the items in the Stock file. Each supplier must have a unique number between 1 and 100 to identify it.

The main use of the Supplier File is in the generation of orders, according to each supplier and the items comprising the recipes that are scheduled to run.

Steps

 

To get to the Supplier File
To get to the Supplier File, select the File menu and select Suppliers or click on the button named Suppliers on the button on the navigator panel.



Adding a Supplier
To add a new supplier:
  1. Click on the New button on thebottom left hand corner of the Supplier File, and all of the fields shown will blank out..
  2. Enter a Supplier Number in the first box. This number must be unique to this supplier, and be between 1 and 100 (The TAB key moves to the next field).
  3. Enter the Supplier Name next. Upper case is forced.
  4. Enter the Address of the Supplier. If the postal address is the same as the Street Address, then click on the double arrows pointing towards the Postal Address box. This will transfer the address over from the Street Address to the Postal Address and save you typing it out again. The arrows pointing in the opposite direction will transfer the Postal Address to the Street Address.
  5. Enter in the Name and contact details of the person you deal with at this supplier.
  6. On the bottom right of the page, check the circle of the method that you will use to order from this company.
  7. Click on the Save button on the lower right of the screen to save the supplier. Clicking Cancel will cancel all changes and not save the supplier.


Editing Supplier Data
To edit data relating to a specific supplier (eg, change the contact details of a supplier):
  1. Locate the record to edit by using List tab (near the top left of the screen) or Search (see Searching (Lookups)).
  2. Double click the supplier you've highlighted or click to the Details tab (near top left of the screen).
  3. Alter any of the required rields.
  4. Click on the Save button at the bottom right of the window to save changes. Clicking Cancel will cancel all changes.


Deleting a Supplier
To delete an existing supplier:
  1. Locate the record to delete by using List tab (near the top left hand corner of the screen) or Search (see Searching (Lookups)). If any items in the stock file are ordered from this supplier, you will not be able to delete it. You will have to first transfer the stock allocated to this supplier, to a new supplier. (see Transfer Stock Items To A New Supplier).
  2. Click on the Delete button to delete the item. Only delete suppliers if you are positive that they are not needed because, if they can be deleted, they are so immediatley without any further confirmation..


Reports
To view the supplier reports, click on the Reports tab located at the bottom left of the supplier file screen. The stock groups file provides 3 reports:
  1. Supplier Code: This report lists suppliers, their address and contact information, in order according to their supplier code. To generate the report, click on Supplier Code in the report list on the lrft, then click on Preview or Print.
  2. Supplier Name: This report lists all suppliers, their address and contact information, in order according to their name. To generate the report, click on Supplier Name in the report list on the left, then click on Preview or Print..
  3. Code and Name Listing: This report lists all Supplier names and Codes only, ordered by code. To generate the report, click on Code and Name Listings in the report list on the left, then click on Preview or Print.
